Booking Terms & Conditions
Introduction
These booking terms and conditions constitute a binding agreement between the customer and Access Nepal Tours and Trekking (the travel service provider) when booking a trip with us. By making a reservation, customers acknowledge and agree to abide by all the terms and conditions outlined on this page.
Booking Confirmation
To confirm your reservation, you may complete the online booking process or submit a manual booking form via email. Your booking is only considered finalized once you receive a confirmation email from Access Nepal Tours and Trekking, following receipt of your deposit payment.
All trip prices are listed in USD. If you choose to pay in your local currency, the conversion will be based on the exchange rate set by Nepal’s Central Bank on the transaction date.
Deposit and Payment Policy
Booking Payment
- For Nepal trips, to confirm, we require a 10% deposit at the time of booking. This deposit is non-refundable and non-transferable, and your reservation will only be secured once we have received the payment. You can either complete the booking process online or request a manual booking form via email, which you can then submit to finalize your booking.
- For the trips in Bhutan and Tibet, a 50% deposit may be required, and this amount is also non-refundable. The confirmation payment could be paid by bank wire transfer or online via a Visa card, master card, Amex card, or credit card.
Last Payment Details
For Nepal trips, the final payment, which covers 90% of the trip cost, is due upon your arrival in Kathmandu. This payment must be completed by the first day of your trip. You can settle the balance through bank wire transfer or online payment using Visa, MasterCard, Amex, or credit card. Please note that a 3.5% surcharge fee will apply for card payments. For Bhutan and Tibet trips, the remaining balance must be paid in full at least 3 weeks before the departure date, or as specified by the company at the time of booking.

Trip Price Structures
All prices listed for Access Nepal packages are per person and based on double occupancy unless noted otherwise. Prices may vary and are subject to change. The listed prices are in US Dollars and only cover the land portion of the trip. You are responsible for arranging your international flights to and from Nepal.
Refund Policy and Trip Cancellations (Nepal Trips)
- If you need to cancel your trip due to an emergency or personal reasons, the initial 10% deposit is non-refundable.
- In cases where the full payment has been made, 10% of the total trip cost will be kept as a cancellation fee. The remaining 90% will be retained as credit, which you can use for future trips with us, or transfer to family or friends who plan to book a trip with us.
- Be aware that in certain last-minute cancellations, the balance may not be refundable. Please consult with us for more specific details.
Cancellation Policy (Bhutan & Tibet Trips)
For Bhutan and Tibet trips, last-minute cancellations result in the forfeiture of 50% to 90% of the deposit paid. If the cancellation is made within 15 days of departure, the entire trip cost will be non-refundable.
Cancellation by the Company
In situations like natural disasters, strikes, conflicts, governmental actions, extreme weather, or any unforeseen circumstances beyond our control, the company may need to cancel your trip. If this occurs, we will provide a refund for the trip cost; however, any fees related to flights, permits, or similar services that have already been issued will not be refundable. You will also have the option to select an alternative trip of equivalent value.
Changing Your Travel Itinerary
Should you wish to alter your itinerary after confirming your booking, please reach out to us via email. We are happy to accommodate changes for trips scheduled within the same year. However, if you request a change to a different destination, additional charges may apply, and we will clarify these costs based on your specific modifications.
Changing Your Trip Arrangements
If you need to make changes to your trip, you can do so up to 15 days before departure for a fee of $100 per person. Please note that last-minute amendments for trips to Bhutan and Tibet are typically not permitted.
Not Completing Your Trip
If you start your trip but are unable to finish it or decide to cut it short for any reason, we cannot issue refunds for any services that were not utilized.
Children Traveling
Travelers under the age of 16 must be accompanied by a family member or a relative while on our trips.
Insurance and Vaccination Requirements
It is essential to have adequate travel insurance when participating in our tours. Your insurance policy should cover medical expenses, emergency air evacuation, and trip cancellations. Always keep a copy of your insurance documentation with you during your travels.
Passport and Visa Requirements
- To travel with Access Nepal Tour to Nepal, Tibet, and Bhutan, you must possess a valid passport and obtain the necessary visas. For a visa to Nepal, you can acquire it upon arrival in Kathmandu or through a Nepalese embassy or consulate before your journey.
- If you book a trip to Bhutan, we will handle your Bhutan visa. For tours to Tibet departing from Nepal, we will provide both your Chinese and Tibet visas. However, if you are entering Tibet via mainland China, securing a Chinese visa will be your responsibility.
Ensure that your passport remains valid for at least six months beyond your travel dates.
Health and Medical Considerations
Maintaining good physical and mental health is crucial when preparing for the journey which requires fit physical and mental health. If you have any existing medical conditions or disabilities, we ask that you notify us prior to making your reservation. We may need to decline your participation if your health is significantly at risk or if the trip does not align with your needs. For those with pre-existing conditions, a doctor’s note verifying your ability to travel may be required.
Inherent Risks
While we prioritize your safety on all our trips, it is important to recognize that adventure travel in the mountainous regions of Nepal, Tibet, and Bhutan, especially activities like trekking and mountaineering, carries inherent risks of injury, accidents, and health issues due to rugged terrain and high altitudes.
Access Nepal Tour is not liable for any injuries, accidents, illnesses, loss or damage to personal belongings, or any other hardships experienced during your trip.
